Refunds, postponements, and unused weeks
This page applies to studies, launch readouts, event map reviews, and workshops booked with Web Studio Core. We do not sell goods by post, software licences, or class recordings as a catalogue, so those models are not covered.
Eligibility
A refund is considered when you cancel in writing to hello@webstudiocore.click, when we cancel because we cannot staff the start week, or when we agree that the events you can share cannot support the question in the quote and you do not wish to switch to an event map review.
Timeframe
Write to us as soon as the start week is at risk. Notices received more than ten full days before the agreed start week are treated differently from later notices, as set out below.
Full refund
You receive a full refund of sums paid if we cancel for our own staffing, or if, after the unpaid scoping call, we decline the work before any booking sum is taken.
If you cancel in writing more than ten full days before the start week, and we have not begun the event map or interviews, the booking sum is returned in full.
Partial refund
If you cancel between ten days and forty-eight hours before the start week, we keep thirty percent of the booking sum for the week we held, and return the rest of what you have paid.
If work has started — intake complete, or event files received — we invoice for hours already spent at RM 420 per hour against the booking sum, and refund any remainder. There is no refund of that hourly portion.
Non-refundable items
Venue hire that you asked us to place, and printed workshop sheets already produced for a named date, are not refundable once ordered. Travel already bought at your request for work outside the Klang Valley is not refundable.
Process
Send the engagement name, the start week, and the reason. We confirm in writing within five working days what will be kept and what will be returned.
Processing time and method
Approved refunds are paid by the same method as the original transfer where the bank allows it, within fourteen working days after we confirm the amount. Malaysian bank charges on the return, if any, are deducted.

Cancellation, rescheduling, deposits
The fifty percent booking sum is a deposit that holds the start week. You may ask once to move the week, subject to our calendar. A move made more than ten days ahead does not forfeit the deposit. A move made later is treated as a late cancellation plus a new booking.
No-shows
If your team does not attend a booked readout or workshop and has not written to postpone, that sitting is treated as delivered. A second sitting is a new fee.
Work already started and materials
Drafts, marked event maps, and interview notes prepared before cancellation remain our working papers. You do not receive unfinished accounts as a substitute for a refund.
Exceptions
If illness or a government restriction prevents a workshop day in Petaling Jaya, we will offer a remote sitting on the same fee, or a move of date without treating it as a late cancel. We do not refund because you later disliked a finding in a completed account.
